EPM Mate Terms of Use

These terms govern your use of the EPM Mate application (EPM TestMate, EPM Admin, EPM Auditor and the EPM CoE Portal) and of this website. By signing in to an EPM Mate account, or by using the website, you agree to them.

Effective November 3, 2026. Questions: legal@caresoftinc.com.

1. Who we are, and who these terms apply to

EPM Mate is provided by Caresoft Inc., 5 Independence Way, Suite 300, Princeton, NJ 08540, United States ("Caresoft", "we"). "You" means the person signing in to EPM Mate or using www.epmmate.com.

EPM Mate is made available to organizations, not to individuals. The organization that gave you your account (your "organization") has a subscription agreement with Caresoft, or is evaluating EPM Mate under a proof of concept on the same terms (either way, the "Subscription Agreement"). The Subscription Agreement governs your organization's rights and obligations, including fees, service levels, data protection, confidentiality and liability. These terms govern your individual use of the account and of the website. If the two conflict, the Subscription Agreement prevails.

2. Your account

  • Accounts are created by your organization's EPM Mate administrator or through your organization's single sign-on. The role you hold (administrator, operator, viewer or approver) decides what you can see and do, and your organization controls it.
  • Your account is personal. Do not share your credentials or let anyone else use your session, and follow your organization's policies on passwords, multi-factor authentication and shared devices.
  • You are responsible for activity under your account until you tell your administrator or Caresoft that it has been compromised. Tell us promptly if you suspect it has.
  • You must be authorized by your organization to use EPM Mate and must be at least 18 years old.

3. What you may use EPM Mate for

You may use EPM Mate for your organization's internal business purposes, in the role you have been given, on the Oracle EPM Cloud applications and connected systems your organization has registered. Use during a proof of concept is subject to these terms in the same way as use under a paid subscription.

4. What you may not do

You may not, and may not help anyone else to:

  • access an account, environment or data you have not been given access to, or work around a role restriction, a safeguard such as self-approval blocking or type-to-confirm, or any other security control;
  • probe, scan or test the vulnerability of the service without Caresoft's written agreement, or interfere with its operation or other customers' use of it;
  • copy, modify, translate, reverse engineer, decompile or disassemble any part of EPM Mate, or create derivative works from it, except where law expressly permits;
  • resell, sublicense, rent or provide the service to anyone outside your organization, or use it to build or benchmark a competing product;
  • access the service by automated means other than the connectors, APIs and scheduling features it provides, or use it to send unsolicited messages;
  • upload malicious code, or content that is unlawful or infringes anyone's rights;
  • load personal data, credentials or other content that your organization has not authorized you to load, or enter system credentials anywhere other than the credential fields designed for them;
  • remove or alter any proprietary notice in the service or its outputs.

5. Your organization's data

Everything your organization loads into EPM Mate or that EPM Mate generates for it, such as identity-domain and directory extracts, application security assignments, test baselines and evidence, screenshots, alerts and logs, run books and documents, review decisions and attestations ("Customer Data"), belongs to your organization. Caresoft processes Customer Data only to provide the service, as described in the Subscription Agreement and the Privacy Policy.

When you connect a system (Oracle EPM Cloud, Microsoft Entra ID or Active Directory, ServiceNow, AuditBoard, SFTP) or load an extract, you confirm that your organization has approved that connection and that the credentials you enter belong to accounts approved for the purpose.

EPM Mate records the decisions you make in it (keep, remove or change on an access review; certifying a test mismatch as expected; a Go or Skip decision; a sign-off) as attestations carrying your name and a timestamp, and your organization and its auditors rely on them. Make only the decisions you are authorized to make.

6. The audit trail

Every action taken in EPM Mate is written to an audit trail: what was run, changed, approved or certified, by whom and when. The audit trail is visible to your organization's administrators, to the internal and external auditors your organization admits through the read-only auditor workspace, and to Caresoft personnel for the purpose of operating and supporting the service. Users cannot edit or delete it. It is retained as described in the Privacy Policy and the Subscription Agreement.

7. Oracle EPM Cloud and other third-party systems

EPM Mate works alongside Oracle EPM Cloud and connects to systems your organization operates. Those systems are governed by their own terms, and EPM Mate uses them only through the credentials and permissions your organization grants. Actions you take through EPM Mate in those systems, such as removing a user's access, running a batch job or migrating artifacts between environments, take effect in those systems. Production safeguards reduce the chance of a mistake; they do not replace your judgment.

Caresoft Inc. is an Oracle PartnerNetwork member. EPM Mate is not an Oracle product and is not endorsed by Oracle. Oracle is a registered trademark of Oracle and/or its affiliates.

8. AI-assisted features

Some features use large-language-model services from third-party providers: for example, describing a batch job in plain English in Batch Job Studio, or asking what failed after a monthly update in EPM TestMate. Their output can be incomplete or wrong. Review generated scripts, assumptions and summaries before you run or rely on them, and enter only information your organization permits you to share with such a feature. The Privacy Policy describes how prompts and results are handled.

9. Evidence, scores and reports are for your organization to judge

EPM Mate assembles evidence, alerts, scores and reports from the data your organization provides. Your organization remains responsible for the design and operation of its controls, for its compliance with laws and standards such as SOX, for its access-review and segregation-of-duties policies, and for the decisions its approvers make. Caresoft does not provide audit, accounting, legal or tax advice, and whether evidence satisfies an auditor is the auditor's determination.

10. Intellectual property

EPM Mate, including its software, designs, documentation and the content of this website, is owned by Caresoft and its licensors and is protected by copyright, trademark and other laws. The Subscription Agreement gives your organization a limited right to use EPM Mate; no other right is granted, by implication or otherwise. EPM Mate, EPM TestMate, EPM Admin, EPM Auditor and EPM CoE Portal are trademarks or trade names of Caresoft Inc.

If you send us suggestions about EPM Mate, we may use them without any obligation to you.

11. Changes, maintenance and suspension

We update EPM Mate regularly, including to keep pace with Oracle's monthly update cycle; features may be added, changed or retired. Planned maintenance is notified to your organization's administrator as the Subscription Agreement provides. We may suspend an account or restrict a feature immediately where that is needed to protect the service, its data or other users, or where these terms have been breached, and we will tell your organization's administrator when we do.

12. The website

Content on www.epmmate.com is provided for general information and may change without notice. Nothing on it is an offer; the terms of any engagement are those in the Subscription Agreement or proposal your organization receives. Brochures, articles and other downloads may be used to evaluate EPM Mate and may not be republished without our permission. Links to other sites are provided for convenience; we are not responsible for their content. Information you send through the contact form is handled as described in the Privacy Policy.

13. Disclaimers

To the maximum extent permitted by law, EPM Mate and the website are provided to you, as an individual user, as they are and as available, without warranties of any kind. The warranties Caresoft gives to your organization are those in the Subscription Agreement and no others.

14. Limitation of liability

To the maximum extent permitted by law, Caresoft is not liable to you, as an individual user, for any indirect, incidental, consequential, special or punitive damages, or for loss of profits, data or business, arising from your use of EPM Mate or the website. Caresoft's liability to your organization is governed exclusively by the Subscription Agreement. Nothing in these terms excludes or limits liability that cannot be excluded or limited by law.

15. When access ends

Your access ends when your organization removes it, when your organization's subscription or proof of concept ends, or when we suspend or terminate it under section 11. Sections 5, 6, 9, 10, 13, 14 and 16 continue to apply afterwards.

16. Governing law and disputes

These terms are governed by the laws of the State of New Jersey, United States, without regard to its conflict-of-law rules, and any dispute under them is subject to the exclusive jurisdiction of the state and federal courts located in Mercer County, New Jersey, unless the Subscription Agreement with your organization provides otherwise or a law that applies to you gives you rights that cannot be varied.

17. Changes to these terms

We may change these terms. The effective date at the top of this page shows when the current version took effect. Material changes are notified to your organization's administrator, and may also be shown when you sign in. Using EPM Mate after a change takes effect means you accept it.
